Meeting Notes:

Dan - talking is good but what is the product of these meetings?

  • Where will the minutes be taken, collected, etc.
  • Can we then access those minutes?
  • It would be helpful to reference them in the future
  • General planning should be centralized so sharing information can be achieved more easily
  • 8. dictates that UIT & ITS will define what is "core"

Bonnie - maybe a Trunk Project site

Molly - goals of this meeting are still to be defined, we have lots of meetings where UIT talks about what we're working on. We'd love to hear more about what is going on in all of your areas, initiatives, etc.

Jan - what is the pipeline outside of this meeting and into UIT?

  • Last week's meeting on Bluecat issues - Theresa didn't know that Med had launched its site
  • We need to continue planning how we develop TechConnect because it is a great tool that we could be optimizing - re: Bluecat issues, Jan to Theresa
  • I need to know what UIT is doing as well as hearing about what we're all doing on the Boston campus - VMware licensing is an excellent example
  • I feel like things are dropped on us and we have to find a way to

Kara - Molly is a conduit

Lisa - we have a real opportunity to share amongst groups to share change calendars, for instance. We don't need to be using the same tool but we could share the information as a starting point.

Kevin - Problem Management is really what we are missing at the moment. We use a lot of informal communications at this point (emails/calls to Molly, Lee, etc.). It would be great if we could formalize some process around this.

Bonnie - SAT feedback

  • Audio quality at meetings is horrible, not really acceptable
  • We should consider moving back to Movi

Lisa - It seems that every single project within every single IT group needs to include a planning element where all IT groups are kept in the loop and brought into the process. TRANSPARENCY!

Bonnie - Lee never set up video conferencing for Apple Support meeting

Kevin - We replace 75 clinic systems each year. Judi will be in touch about computer donation program.

  • Note: HNRC is a iceberg of sorts
  • Do we look for a path off Hyper V - move to VMware?

  • Identity Finder - console coming online
  • Sharepoint - new beta
  • Retirement of ticketing system - would like to move to TechConnect but need to check with regulations for ARS staff, issues
  • Dealing with BYOD - bring your own device support

Claire

  • New School of Medicine site
  • Sitecore CMS
    • Rolling out edit rights to a wider community
    • Lots of process work to be done
    • Training & Support program to be developed (FTE funded by consortium)
    • Hoping to start with a pilot program

Collin

  • Implementing a loner iPad program
    • 10 to start
    • Library licensing has been challenging
  • Pharos printer service
  • Room & resource scheduling - EMS

Kevin O'Dea

  • Implementing virtual server environment in Summer St, migrating from Sackler
  • He'd still like access/space in Sackler POLITICAL HOT POTATO (Jan)
  • Would like to move Clinic system to Summer St.
  • Virtual Desktop will be next step
  • New Clinic System - disaster recovery planning (TAB)
  • State in process of closing 2 of 8 clinics, 2 new
  • Digital radio graphs in all clinics
    • Data is stored here in Boston
    • Data transfer connection can be challenging
  • Re IPing all workstations in Dental buildings
    • Moving behind Dental firewall
  • Hope to sometime place works stations in simulation labs, virtual desktops would be ideal but because of timing they will likely go with laptops

Kevin Murphy

    • Console has been up for a while
    • Possible partial FTE to help with located data remediation

    • Plan to replace all old machines on campus
    • 70 systems so far
    • Centrally funded through Medical School
    • All full time employees are eligible for a new computer every 4 years

    • Heavily invested in Citrix
  • Disaster Recovery & Business Continuity - upcoming
  • Profiles RNS?? (profiles.med)
    • Crawls PubMed - public database
    • Application that finds publications that are attached to specific faculty
    • Allows for affinity searching
    • Use for research and grant opportunities
    • Interest from Dental, Vet, and Engineering
    • President Monaco's account will be added shortly
  • Retooling policies and procedures to adapt to TechConnect
  • Affiliated Faculty Data Store & Appointment Tracking system
  • Grant tracking system - lots of overlap, we don't want to duplicate functions and want to be sure we know which system is authoritative
  • Lots of IdM challenges
