How to Create a Security User Template
Overview
A Security User Template defines what a Security User has access to and the processes the user can complete in the EMS database. To access a Security User Template, the individual must have an EMS Security User Account (System Administration>Security>Users). This is distinct from the Web User Account that is created through the HR Toolkit process (Configuration>Web>Web Users). Security Users access the Security User Template through the EMS Web Client (preferred) or EMS Desktop Client (limited to Super Schedulers and Academic Planning Schedulers).
A unique Security User Template is needed when there is a change in the security template parameters. For example, the School of Dental Medicine Continuing Education Office is responsible for scheduling 6 spaces in the Dental School (One Kneeland Street). A unique Security User Template (Dent-Continuing Ed Security Template) must be defined to enable their staff to schedule the spaces they control and view but not schedule the spaces that other Dental School offices control. This concept applies any time there is a “break” in the rules associated with a Security User Template category, process, building, room, status, or query.
It is recommended that Security User Templates be role-based in an effort to limit the number of Security Templates and to more easily manage the Security User Template assignments which are done manually.
Dependencies
- Security User Account (per-requisite: per Tufts University policy, an individual must have an active utln loaded via the HR Toolkit process)
- Department
- Determine in advance what the Security User Template will govern:
- Categories
- Buildings
- Rooms
- Statuses
- Processes
Note:
- Only one Security User Template can be assigned per user. For example:
- Staff in Department X are assigned to Security User Template X.
- Staff in Department Y are assigned to Security User Template Y.
- The Executive Associate Dean for Departments X & Y has review/approval rights for Security User Templates X & Y.
- Because only one template can be assigned to the EAD, Security User Template Z must be created to include the access and processes contained in the individual Security User Templates X & Y. The EAD is assigned to Security User Template Z.
- Configuration (processes, room access, statuses, etc.) should be restricted to the minimum required for the business need.
Summary of Steps (Web Client)
- Create a Security User Template
- Navigation: System Administration>Security>User Templates
- Assign security parameters (Categories, Building, Room Access, Statuses, Queries)
- Assign Security User Account to the Security User Template
- Navigation: System Administration>Security>Users
- Find Security User Account
- Click on "Event Properties" and assign the Security User Template
- Verify Academic Properties* is unassigned
- Click on Academic Properties
- Type = Department
- Campus, Department, Template = none
- Click on Academic Properties
* Academic Properties are assigned if the individual is responsible for EMS Academic Planning - e.g. the iSIS-EMS feed, scheduling courses using the academic planning module etc.
