Email Account Expiration and Retention

Timeline

This process begins at the point of an affiliation expiring (i.e. all systems of records report “no affiliation”):

  • Week 1-4: Weekly expiration emails counting down to the account’s expiration (affiliation status = warned1,2,3,4)
  • Week4 (on date specified in expiration emails): Tufts account is ineligible, Exchange account is detached, mail is undeliverable, accounts cannot be logged into
  • Day 60: The last point at which we can confidently restore the account and the data within is the day before the detached Exchange account is purged.
  • Day 60: The detached Exchange account is purged entirely
  • Day 60 day back-up restore point objective: Exchange account is already purged, and at this point all copies of email are gone as well

Account Expiration Notices

In an effort to keep Tufts' account database current, University Information Technology (UIT) is tasked with regularly removing the accounts of individuals who are no longer believed to be affiliated with the University. This process also includes individuals whose affiliation must be confirmed annually.  The records we currently have indicate that your official eligibility to access Tufts University accounts has ended.
Consequently, in accordance with University policy, the following services will be disabled on DAY, MONTH XX, YEAR:

Your Tufts email account: FIRST.LAST@tufts.edu
Your ability to use your Tufts Username and Tufts Password

Although we do our best to guarantee the accuracy of the data from which we work, there may be circumstances when someone receives this message in error. If you believe you have received this message incorrectly, please accept our apologies. To ensure that your services remain uninterrupted, contact your manager, supervisor or registrar prior to the date noted above and request that they contact your local IT support organization to assist with extending your Tufts accounts.   Approval must be obtained from your manager, supervisor or registrar to extend your accounts.
