Meeting scheduled with Nick, Emily, Sananda, Helen, Leigh (at least)

Jul 12, 2024

Response: “To kick off that process, Helen Williams and I would like to meet with you, Sananda and the other stakeholders to sketch out a working plan and a timeline. Ultimately we need to review the Fletcher data that is currently available in Slate, the definitions of that data (especially noting the variations between programs), what the final product is, and who will have access to it for what purposes, but that is likely to require at least one more meeting beyond this initial discussion.

Initial Request: Slate push for Tableau Dashboards

No data provided for interactions, events, sources, or gpas. Schools were provided with the huge caveat that they are not always mapped correctly to degree granting undergrad and grad schools. These fields can be added over time…

Subject: RE: Slate Data for Friedman

As far as the inquiries are concerned, they are straightforward; we don’t have all of those fields, but we can certainly send you what we do, other than address.

If you can send me what you have that will be very helpful. Any kind of geographical information like country or region will be helpful to have to understand where the leads are located.

As for Applicants

Can you explain how you are using school data? The file you sent isn’t showing the undergraduate institution as #1; we have a development issue to make that happen going forward for Nutrition, but has not consistently been the case, so we are very interested in how it is being used. (The same holds true for GPA.)

One of the key data points to track for applicants and leads is demographic information. School and GPA data are additions to that information. They help to understand for a particular program what does the applicant profile or the profile for leads(who have applied in this case) look like. That being said, for GSAS that information is not always very consistently available for all records so it cannot be used as effectively as we would like to.

Can you explain the distinction between First Source Origin Summary, and ORIGIN_SOURCE_SUMMARY? Under what conditions would the data be different?

They are the same.

Is Released Date the date of the Final Decision?

Yes.

What is Di date?

This was created by TTS to track the date when a new record is added to the data. Not sure if that definition has changed. I do not use this field in the dashboard.

What is the difference between PROSPECT_CREATED and RECORD_CREATED?

PROSPECT_CREATED is the date when someone became a lead. This is a field in the Inquiries data.  RECORD_CREATED is available for applicants who were leads. This gives the date when that applicant became a lead.

If you can provide more information on how Tableau consumes this data, that would also be helpful; are separate table used in different views, or can applicants and prospects be delivered in the same file?

Chunpi and Rachel may know more about this. I will answer this based on what I know. Dmitri sends TTS two csv files for GSAS, one for application and one for inquiries. Then at TTS a left join is done for each file with the other one. So, left join for applications and inquiries (applications left join inquiries) to track applicants who are leads. Then a left join for inquiries and applications (inquiries left join applications) to track leads who applied. Two tables are created. These two “left-joined” files are uploaded to the Tableau server and I connect my Tableau workbook to these two data sources in the server.

I think if we can send two csv files one for application and one for inquiries for Friedman to the BI team they may be able to replicate the process that they have for GSAS.

And, there are some concerns about providing the complete birthdate. How are you using that data?

This helps to determine the age of the applicants, admitted students and enrolled students. I think this is an important demographic information to have to better understand the profile of applicants, admitted students and enrolled students for a program.
