Withdraw Decisions in Slate

My proposal is to use two different primary decision codes: Withdraw (which is pre-existing, at least in most instances) and Withdraw/Incomplete (new).

The difference would be that Withdraw should be used when an application is otherwise complete (usually this means the status is “awaiting decision” but I’m hesitant to rely on that, given application status changes can be messy) and Withdraw/Incomplete would be used when the application has been submitted but was not complete. (I know there is a gray area around “complete” but I’m putting that aside right now).

This would allow us to differentiate between applications that get withdrawn before they are complete vs. after. This is important for reporting, as frequently we want to report on “complete” applications, and right now it isn’t really possible to know if an application with a withdraw decision was complete or not before it was withdrawn (at least not consistently, at least not in TUSMGP). Plus, when a decision is added to the application it is updated to “decided” per the standard application status rules in Slate, so those applications do not remain in “awaiting materials.”

Then, for each primary decision, I have collected the reasons (basically “sub” decisions for those who don’t speak Slate) that we’d need for TUSMGP, with definitions. Feedback on both the two primary decisions and any additional reasons or edits to reasons is welcome!

Withdraw/Incomplete

Incomplete by Deadline

Application was not complete by the program’s application deadline.

Student Request

Student directly contacted Admissions to request their app be removed from consideration.

Admin Update Required

This would be when there is some fundamental change to the application (change to program, modality, etc.) that requires a new app record to be created, and this one “cancelled”

Program Discontinued

Sadly, we’ve used this for a while in TUSMGP so need to keep it. Hopefully don’t need to use it again!

Withdraw

Unable to Review

Application was complete and started review process but it was determined during review that additional information was required, and the student never provided it.

Unresponsive (Interview)

Student was invited to complete an interview for the program but did not reply to the request or complete the interview by the provided deadline.
