Assign the Individual to a Migration "Bucket"

This Methodology will cover the following Macintosh Transitions:

Perform Desktop Preparedness Assessment

Any user we migration should be strongly encouraged to be using a recommended software client, web browser and connection point any associated mobile device. Desktop Preparedness should be completed prior to the day of Migration wherever possible.

During this pre-migration period, the 3-2-1 Communication will be ongoing.


4pm">Evening Before The Migration: 4pm

This is the deadline for an opt out for a user to not be migrated for the next morning. After this point the serverside data will provisioned and migrated by the infrastructure teams.


Morning of the Migration:

Thunderbird to Thunderbird

A user who is going to stay with Thunderbird as their mail client needs a NEW account connection provisioned for the Exchange IMAP connection. DO NOT repoint the Trumpeter IMAP connection to an Exchange IMAP connection, you risk duplication from the re-indexing that will occur.

 Expand for Procedure
  1. Launch Thunderbird, and go to the Tools menu and choose Account Settings
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  2. Choose the Dropdown on the bottom left of the menu it says Account Actions
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  3. Select Add Mail Account
  4. On the next window, fill in the following information in this format:
    • Your Name: First Last
    • Email Address: First.Last@tufts.edu
    • Password: Enter the Active Directory (LAN) Password
      #*Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  5. Click Continue
  6. Thunderbird will attempt to auto-detect the settings for your email account. If it auto-detects incorrectly, these are the Correct settings. Bolded Items are generally auto-detected incorrectly.
    • Username: This is the [tufts UTLN]
    • Incoming: exchange.tufts.edu IMAP | 993 | SSL/TLS
    • Outgoing: exchange.tufts.edu SMTP | 587 | SSL/TLS
  7. Choose to Verify Settings
  8. Create the Account
  9. Select Outgoing Settings on the Account Preferences screen that returns
  10. Set the newly created exchange.tufts.edu outgoing server as the default sending client.
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  11. Close that window
  12. Right click on the new account and select Subscribe
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  13. Verify the following folders are subscribed:
    • Deleted Items
    • Sent Items
    • Server Folders from Trumpeter Mail Migration.
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  14. Accept Changes and then go back to te Tools and Account Settings Menu
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  15. Under Copies and Folders make the following changes:
    • On the "When Sending Messages" select to set the sent folder to Other and in the drop down menu, select Sent Items for the exchange.tufts.edu account.
      Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  16. Accept Changes
  17. Perform Final Checks
  18. [Synchronize Mobile Devices]
  19. Remove the legacy Trumpeter IMAP account

Thunderbird to Apple Mail

Users should only be migrating to Apple Mail from Thunderbird if they are running OSX 10.6.x and plan to use apple mail to synchronize calendar/tasks with iCal and contacts with Addressbook

 Expand for Procedure
  1. Launch Mail
  2. If mac mail has never been configured in the past, you can use the start-up wizard, otherwise get to the new account options from the following:
    • Go to the Mail Menu and select Preferences
    • On the next screen, press the + sign on the lower left-hand corner of the window to launch the add an account wizard.
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  3. From the add an account wizard, use the following settings:
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  4. The Auto-detect will try to use first.last as a login value, adjust this to the users UTLN and retry:
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  5. Accept the following auto-detect screen values
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  6. Close the window and go to the File menu and select Import Mailboxes
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  7. Select Thunderbird and note that the path it will ask you to move to is ~/Library/Thunderbird/Profiles/%CIPHER%.default
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  8. Choose the appropriate profile, and then head into the local folders directory to import archived mail: (~/Library/Thunderbird/Profiles/%CIPHER%.default/Mail/Local Folders/) and select Choose
  9. Mac Mail will now import all archived mail into a folder labeled "Import" this will not move or remove the local thunderbird archived mail.
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').

Thunderbird to Entourage EWS

This is the only MAPI Migration path for users on 10.5.x. Snow Leopard (10.6.x) users have the option of using Mac Mail as a native MAPI client.

 Expand for Procedure
  1. Ensure Office 2008 is fully patched, and install Entourage EWS: http://www.microsoft.com/mac/itpros/entourage-ews.mspx
    • In order to patch Office 2008, you can run any office tool (such as Word, Powerpoint, etc.) and go to the Help menu and select Check for Updates
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  2. Create Entourage Profile by going to the "Entourage" menu and selecting "Account Settings"
    • In the new profile, Opt to manually configure a new account, and choose Exchange
      • Instructions on go.tufts.edu/exchange here
    • Junk Mail Filter turned off
    • LDAP Addressbook
    • For Documents on Junk Mail, LDAP - go here

Local Folder Migration if coming from Thunderbird

  1. Use Addressbook Magic to convert the Thunderbird information to an MBOX format.
    • If you are on a Mac with Thunderbird, copy the thunderbird profile to a Windows VM to be able to run Addressbook Magic.
    • For Example:
      "Addrload -m tb mac:z:\mail" (This would convert the default
      Thunderbird profile Local Folders to a directory called
      "Mail" on the Z: drive)
    • Once the conversion is complete, copy the new MBOX files to the Macintosh (~/Documents/Microsoft User Data/Office 2008 Identities/) and then drag them from the Finder to the Entourage client.

MBOX Export from Addressbookmagic, and other programs does not keep the following Thunderbird information when imported to Entourage:

  • Read/Unread Flag (In Entourage all will be marked as read, in mac mail all will be marked as unread)
  • Starred/Important Flag
  • Marked as Junk

Contacts Migration if coming from Thunderbird

    • If you are on a Mac with Thunderbird, copy the profile to a Windows VM to be able to run Addressbook Magic.
  1. Entourage can import contacts from CSV, LDIF or Tab Delimited text files, so export the thunderbird addressbook appropriately
    • You will lose Distribution lists, they will need to be remade

This will convert the current user's Thunderbird Contacts folder to a vCard file that can be imported into Mac Mail.

C:\> Addrload tb z:\Outlook.vcf

This will convert the current user's Thunderbird Contacts folder to an LDIF file that can be imported into Entourage.

C:\> Addrload tb z:\Outlook.ldif

I'd suggest it is faster and easier to export to CSV from Thunderbird itself and import as a CSV with custom mapping.

Entourage 2008 to Entourage EWS

This is the only MAPI Migration path for users on 10.5.x. Snow Leopard (10.6.x) users also have the option of using Mac Mail as a native MAPI client.

 Expand for Procedure
  1. Ensure Office 2008 is fully patched, and install Entourage EWS: http://www.microsoft.com/mac/itpros/entourage-ews.mspx
    • In order to patch Office 2008, you can run any office tool (such as Word, Powerpoint, etc.) and go to the Help menu and select Check for Updates

  2. Upon launching EWS, opt to import an old profile and select the Import from an Old Version of Entourage.
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  3. Select Entourage 2008
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  4. Select any appropriate profile portions, It makes sense to import everything.
    • Size parameter must be a number (optionally followed by 'px', 'pt' or 'em').
  5. Select the correct identity to import from:
  6. Note that Entourage EWS is not compatible with Exchange 2003.
  7. Make the appropriate server changes upon completed import

Apple Mail to Apple Mail

This procedure will only work for Macintosh computers running Snow Leopard (OSX 10.6.x)

 Expand for Procedure
  1. Launch Mail

    • Go to the Mail Menu and select Preferences

  5. Accept the following auto-detect screen values

Technician Visit

  1. Assists if necessary
    • Recreate Signature
    • Recreate Meeting Maker Proxy Delegation
    • Addressbook Configuration (LDAP/GAL Lookup.)
  2. Send Mail in Plain Text
  3. Turn off Junk Mail Filter

After Technician Visit

  1. Individual is left with the following information
    • [Exchange FAQ] to explain our most common questions.
    • [Online Support knowledgebase] for self-service learning
    • [Support Contact Information] for first tier support
      • This can be the primary support desk (local FSP) or a specific support hotline for Exchange, or both.
    • Schedule for [customer-focused training] to be given by Tufts trainers during the upcoming weeks/months.

Post Migration Follow-up

  1. Individual is contacted briefly to see if some portion of their migration is still incomplete.
