University Marketing and Communications have University Communications and Marketing originally set up dashboards to track various metrics around admissions marketing for GSAS & Grad Engineering.

Sananda Ghatak was trying to do the same thing started building these for Nutrition , now that UCM is providing support for them, but DW no longer uses the process for moving data that NUTR set up:

Going forward we will not be bringing file exports into the oracle data warehouse, so the process will be different. We will be using our data virtualization platform in order to provide users access to scheduled exports.

Rachel Kell’s suggestion to Sananda was to use Box; testing proves we can drop Slate files into Box, but the hitch was that I needed an account (and a password!) to drop things into Box, and that wasn’t something we could set up.

This percolated for a while, and then DW came back with “It might just be easiest at this point to use one of the ones the DWBI group has already set up for other purposes. I can set up a sub folder specifically for Slate Reports and then we can publish them as a Tableau data source through Denodo.”& Vet in 2023, TUSMGP in 2024, and on 7/12/2024 Fletcher requested one.

Tip

The Fletcher request pushed us to recognize that we cannot build each of these databases as a one-off, but that they are all part of a greater “complex project” of Enrollment Analytics. The dashboard itself is a deliverable; there are multiple deliverables within this project, they cross many units within Tufts, and there is a continuous feedback loop as we refine the process for this individual deliverable, but also revisit previous deliverables for Nutrition and Vet.

Matt Girard set up the connection between Slate and Denodo in September, 2023 for Nutrition; he even wrote a guide: https://tufts.box.com/s/pyt4crtp6xq2d0gyrqedr6i7yxntqfxq

...

Sananda has access to the Denodo views within Tableau for her dashboards.

Two files exist for each school in the GradHlthSci each instance of Slate that have this regular export to Denodo:

Matt Girard has access via a direct permissions on the queries themselves.

I also created a spreadsheet, per Matt:

“when you get a chance, can you please send along an excel file that has a description of each query (with the URL to the query in Slate), along with descriptions for each of the fields in the queries?”

https://tufts.box.com/s/lz9rm1y05ycab0op5d6k9igvg78yi27l

This file contains the links to access the queries, the field descriptions, and the tokens for Vet, since they were created at the same time as the spreadsheet.

...

Updating the queries:

As data shifts and new and different fields are required, the queries in Slate just need to be updated, and the Denodo manager(s) informed, so they can update their processes.

For any updates, send a ticket to bi-service@tufts.edu (which creates a Service-now ticket)

Also, while we’re making updates, I’m going to be making another pair of views that we call “interface views” which are finalized views that we want all folks to be using going forward.

The plan is for users with basic read access to only have read access to these final views to prevent folks from getting lost in the sea of base and intermediate views that aren’t ready for consumption.

On your end, the only change you’ll need to make are the names of the tables you’re using :

Change j_nutrition_applicants_prospects to nutrition_applicants_prospects
Change j_nutrition_prospects_applicants to nutrition_prospects_applicants
