I missed ‘Why Tufts’! The recovery: map and watch for next file to come in on the feed – Complete

Pull the field from WebAdmit (which has to be done anyway for all of the text fields to re-format for the line breaks '/n' issues)

[For 2026: set up WebAdmit SFTP for these text fields]

Experiences

[For 2026: review https://community.technolutions.net/cas/post/mapping-experiences-in-liaison-cas-imports-to-jobs-LmrdAOKChTABFrZ and consider an API or WebAdmit SFTP].

  • Review previous year’s Export file in WebAdmit, and update as appropriate.

  • Download file from WebAdmit

  • In production, inactivate source format and update the “remap as of” date

  • Upload file into proper file format and related folder

  • Review the field mappings

  • Update the field fusion to add this cycle’s Program ID

  • Refresh and Update the prompt value mappings

  • Update the Round Static mapping

  • Refresh Test, do import, and review

License and Certifications (new for 2025!) was mapped, but does not have date. Also found type for group #83 was missing…and there were just 3. Added 11 more, so 14 in total are now available through the API (with dates!).

...

Awards/Honors/Scholarships and Licenses/Certifications are all set in the source format going forward.

GPA Data

Replacing 0.0 with blanks

Initially uploaded on 10/7, but data was still flowing, so did a final pass after data freeze; 10/15/2024 complete --re-run on 10/15 to pick up any stragglerslast 199 import is ready to upload

Although the data is not being immediately used, the Reader cutoff score does include the gpas. Grad schools will come over as 0.0 if there is no data, so those need to be adjusted to not blow up the formula.

...

There is no way to map a number field to a blank value, so the spreadsheet has to have the 0.0 values removed, then updated via the Replacing 0.0 in GPA entity rows with blanks source format. This matches the values on GPA GUIDS, VMCAS ID and Slate app ID’s. [That’s a bit wack, mixing the Slate app ID and the VMCAS person ID values, but it works.]

Local & Last 45 gpa data

complete 10/16/2024

This is not available on the API; it is available as a webadmit export.

RR has asked for all of the Last 45 gpas to be brought over, although we have not done that previously; she believes the logic in her formula spreadsheet will handle it.

There are a handful of students who are missing GPA data from the API because they were missing transcripts, never verified, or something. Those can easily be found with the ‘Missing GPAs’ query.

I did use the VMCAS to Slate GPA by Year and Prerequisite GPA source format for the import of all local fields; note that the prompt value mappings are really annoying, and it is easy to overlook the name (prompt) fields:

...

For 2026, add these local gpas to a scheduled export. Need to check: is there any risk involved in overlaying local gpas on the API data?

Schools

Apparently the country code mapping was never done? No one actually seems to care, either--Ross University School of Vet Med (in St Kitts and Nevis) has been being imported as in the US and no one has said anything. This data has been updated for the 2025 group; the mapping needs to be updated going forward.

I believe there are conflicts between the ISO 2 list and the translation codes that are set in Slate; shoudl should look into that as well.

Why are we using the ISO 2 list, anyway?
